Release Notes:

The latest version, SeekerWorksSetup2010-1-1.exe includes the following enhancements and fixes (as well as all changes from previous versions):

  1. NEW: A Message box stating "SeekerWorks™ needs to upgrade the data files, but a sharing error has occurred. In order to upgrade the data files, you need EXCLUSIVE ACCESS to the database. However, someone else is using SeekerWorks™ at this time. Every other computer must close SeekerWorks™ first. Then, you will be able to upgrade the data files." now appears when you start up SeekerWorks™ for the first time after installing a new version AND someone else is using one or more of the data files. The program error that used to occur (1705- file access is denied) no longer occurs in this case.
  2.

  3. NEW: The "View A Potential EZ Check-IN Roster" screen now includes the "Pretend Today Is" date value to determine why someone may be excluded from the Attendance Type/Ministry/Team combination using the EZ Check-IN screens.
  4.

  5. FIX: The "Merge Two Giving Units" screen, available by clicking the (Merge) button on the "Select A Giving Unit" screen via (Giving Units) button on the {Gifts/Pledges} tab of the main menu, was not working and now does.
  6.

  7. FIX: Program Error "Variable 'XVOLUNTEERIND' not found" no longer occurs during EZ Check-IN of Adults who are not volunteering.
  8.

  9. FIX: The "Assimilation Summary" report now shows up to three of the "I'd like more info on" check boxes as well as up to three of the "I'm interested in serving in" check boxes. Previously, only the first one checked was shown on this report. Also, the first three of the check boxes on the {Wants/Needs/Interests} tab appear on this report now, instead of only the first one checked.
  10.

  11. FIX: The "Assimilation" screen was not saving the Follow Up Comments properly or at all when no Follow Up Path could be found with the Assimilation trigger checked. This has been corrected, although one Follow Up must still be associated with the Assimilation event in order to save those comments. If there isn't one, you will get an error message telling you there isn't one. In that case, we recommend you click the "I'd like more info on: OTHER" check box, click the (Save) button to create a Follow Up tied to that check box, then add your Follow Up Comments.
  12.

  13. FIX: Questions 4 through 15 on the {Wants/Needs/Interests} tab of the "Assimilation" screen were not creating Follow Ups. This is working now.
  14.

  15. FIX: The Restore portion of the Backup/Restore process was receiving numerous program errors when restoring data from a backup created in an older version of SeekerWorks™. These errors no longer occur.
  16.

  17. FIX: Program Error "File 'Secured_small_group_user.csv' not found" no longer occurs during a Restore.
  18.

  19. FIX: The Backup portion of the Backup/Restore process was receiving numerous program errors when backing up data after restoring it from an older version of SeekerWorks™. These errors no longer occur.

The previous version, SeekerWorksSetup2009-4-2.exe was published on December 28, 2009 and included the following enhancements and fixes (as well as all changes from previous versions):

  1. NEW: The "View A Potential EZ Check-IN Roster" screen, available by clicking the (EZ Check-IN Rosters) button on the {My Info/General Info} tab of the main menu, shows all of the Active names for the Ministry Group used on each Team Schedule with the "Pick Children Dynamically" box checked on the corresponding "Schedule A Ministry Team" screen. As you select an Attendance Type, Ministry, and Ministry Team, the list will show all of the potential, active names covered by that schedule. If a name will be excluded from a schedule for some reason, that reason is displayed to the right of the person's name. Simply <click> on a name to go to their "Update A Name/Address" screen and change their values, if needed. This is an easy way to see what names need additional information in order to use EZ Check-IN to its fullest potential.
  2.

  3. NEW: The "Assimilation Summary" report now shows all of the Follow Up (Tickler) comments related to that Assimilation entry as well as those for all related Follow Ups (Ticklers). This includes comments entered on the {Follow Up Comments} tab of the "Assimilation" screen. Comments are grouped by their related Follow Up Path(s). The Follow Up comments appear in dark red, while the Prayer Requests appear in dark blue. This helps differentiate between the two.
  4.

  5. NEW: Report- "Volunteers Scheduled By Month" shows each person in a ministry and when they are scheduled to volunteer during the month per each Attendance Type, Ministry Team and Position they are scheduled for.
  6.

  7. NEW: Reports-
    • "Cards/Key Fobs By Name" shows each Card/Key Fob set up for EZ Check-IN, sorted by Name
    •

    • "Cards/Key Fobs By Family ID" shows each Card/Key Fob set up for EZ Check-IN, sorted by Family ID
    •

    • "Cards/Key Fobs By Card/Key Fob Number" shows each Card/Key Fob set up for EZ Check-IN, sorted by Card/Key Fob Number
    •

    • "Cards/Key Fobs By Phone" shows each Card/Key Fob set up for EZ Check-IN, sorted by the Main Phone Number for the person's address
    •

    • "Email Records By Name" shows each email address loaded to the email list file using the "Email..." screen (see the (View/Print Roster...) button on that screen as well), sorted by Name
    •

    • "Mail Merge Records By Name" shows each mail merge records loaded to the mail merge file using the "Load People To The Mail Merge File..." and "Load Giving Units To The Mail Merge File..." screens (see the (View/Print Roster...) button on those screens as well), sorted by Name
    •

  8. FIX: The {Prayer} tab on the "Assimilation" screen was showing every Prayer Request entered for every Assimilation entry for the same "Date Attended", instead of just for the person linked to the Assimilation entry. This has been corrected.
  9.

  10. FIX: The {Follow Up Comments} tab on the "Assimilation" screen was not indicating which Follow Up the comments are linked to. Now, each comment is preceded by the Follow Up Path for that comment, so you can tell which of the related Follow Ups go with which comment.

The previous version, SeekerWorksSetup2009-4-1.exe was published on December 19, 2009 and included the following enhancements and fixes (as well as all changes from previous versions):

  1. NEW: Throughout SeekerWorks™, all of the listboxes expecting a <double-click> with the mouse to select an item and click the default button (e.g., when an item is selected with a <double-click> the logic automatically clicks the (Update) button or the (...) button) will now select that item and click the default button using a single <left-click> with the mouse. This makes SeekerWorks much easier to use and navigate and is intended to reduce confusion. Use a <right-click> instead to select an item, then <left-click> on a different button to avoid clicking the default button.
  2.

  3. NEW: The (Ministry Teams) and (Team Schedules) functions have been changed to link and schedule Volunteers and their Positions, not just Volunteers. All related screens and reports have been updated as well, including the EZ Check-IN screens and reports. This allows you to schedule each Position a person may fill on the same Ministry Team, such as Teacher one week and Helper another week.
  4.

  5. NEW: Whenever an Anniversary Date is in the future, the related directories showing this date will only show the month and day. This is intended to allow you to record a person's anniversary even when you don't know what year he/she was married. We recommend you use 2099 as the year in that case to clearly indicate the year of the anniversary is unknown.
  6.

  7. NEW: All Check-IN and Check-OUT reports no longer show the Check-IN time using a 24 hour clock. Instead, it shows the time using a 12 hour clock with either AM or PM, as appropriate.
  8.

  9. NEW: The "Update A Name/Address" screen now includes an (EZ Check-IN) button to update the "EZ Check-IN Information For: XXXXXXXXXX" screen information used during the Check-IN or Check-OUT processes. This button makes that information more readily accessible, rather than needing to click first on the (Attendance...) button, then clicking on the {EZ Check-IN Info} tab, then clicking on a Card or Key Fob number to see the "EZ Check-IN Household Setup" screen, then <right-clicking> on the person's picture to see the "EZ Check-IN Information For: XXXXXXXXXX" screen.
  10.

  11. NEW: The "List Of RFID Cards/Key Fobs" screen is now available by clicking the (Cards/Key Fobs) button on the {People} tab of the Main Menu. This screen shows every Card or Key Fob, and/or Phone Number used with the EZ Check-IN process. An option is also available to sort the information by Family ID, Card/Key Fob Number, Main Phone Number or Last Name. You can <click> on an entry to see the "EZ Check-IN Household Setup" screen (it clicks the (Update) button for you), then modifying the information as necessary. Again, <right-click> on a picture or picture placeholder on that screen to show the "EZ Check-IN Information For: XXXXXXXXXX" screen for the respective person.
  12.

  13. NEW: The "Graduate Names To The Next Ministry Group Or Grade" screen is now available by clicking the (Graduation/Promotion) button on the {People} tab of the Main Menu. This screen shows three tabs that contain the names of those who will "graduate" to the next Ministry Group or Grade based upon the information defined on the "Maintain The Ministry Group List" screen (see the (Ministry Group List) button on the {Tables/Utilities} tab of the Main Menu). WARNING: there is not an (UnDo) capability once you graduate the names.
    • The {By Months Old} tab previews all of the names that are missing a birthdate, or that will be changed to the next Ministry Group based upon their age in months when you click the (Graduate) button (e.g., per the default settings, names in the Nursery Ministry Group are supposed to graduate to the Toddler Nursery Ministry Group when they exceed 18 months old, and Toddlers are supposed to graduate to the Preschool Ministry Group when they exceed 36 months old.) This tab should be reviewed monthly, although you could graduate these names at any time.
    • The {By Years Old} tab previews all of the names that are missing a birthdate, or that will be changed to the next Ministry Group based upon the age in years when you click the (Graduate) button (e.g., per the default settings, names in the Preschool Ministry Group are supposed to graduate to the Elementary Ministry Group when they exceed 6 years old.) This tab should be reviewed yearly, although you could graduate these names at any time.
    • The {By Grade In School} tab previews all of the names in the Ministry Groups that graduate based upon their Grade In School (e.g., Elementary, Middle School and High School). It shows their current Grade value ("__" is used when the grade is missing) and current Ministry Group and the New Grade value and Ministry Group they will graduate into if you click the (Graduate) button (e.g., per the default settings, names in the Elementary Ministry Group are supposed to graduate to the Middle School Ministry Group when their grade exceeds 5th grade, and the Middle School names are supposed to graduate to the High School Ministry Group when their grade exceeds 8th grade. Similarly, the High School names graduate to the Adult Ministry Group when their grade exceeds 12th grade, and they are automatically assigned a new Household ID, which separates them from their household.) This tab should be reviewed yearly. Be careful you don't graduate these names more than once a year.
    • Each of the tabs also allows you to <click> a name to see their "Update A Name/Address" screen. This lets you change values manually, if desired.
    • Lastly, the GRADU8P1, GRADU8P2 and GRADU8P3 programs have been removed from the "List Of Batch Programs" screen in lieu of this new screen.
  14.

  15. NEW: The {Totals} and {Those Who Stopped Giving} tabs on the "Gift Analysis" screen now have (Print) buttons to make a hard copy of the information. If you have security, the detail from the {Giving Units} tab will print also. Otherwise, you'll only see the totals.
  16.

  17. NEW: An "Assimilation Summary" report is now available to show pertinent information about the assimilation cards received using less paper. The Total Attendance associated with each Attendance Type will appear on this report as well.
  18.

  19. NEW: A "Links To Cards/Key Fobs With Missing Pictures" report is now available to find EZ Check-IN names without a picture. Use this to easily determine who needs their picture taken.
  20.

  21. NEW: The (Email Prayer Requests List...) button on the "List Of Prayer Requests" screen now allows you to email only those active, non-confidential prayer requests within a given date range, or all active, non-confidential prayer requests, as before.
  22.

  23. FIX: The EZ Check-IN process was not accumulating Attendance Totals properly. While we believe we've fixed the problems involved, please let us know if you suspect a problem. And, if you can recreate the error, that would be extremely helpful in fixing any potential flaws. As a result, a new "FIXATTP3" Batch program is available to recalculate the Attendance Totals based upon attendance by person records.
  24.

  25. FIX: The Attendance by person reports now exclude Inactive names, unless they were present during the date range used to select the names.
  26.

  27. FIX: The Attendance by person reports now show the related Attendance Types for the names selected. We apologize for the confusion caused by inadvertantly excluding this information from the reports. Subtotals appear at the end of each Attendance Type group.
  28.

  29. FIX: The Average Attendance by person reports now show the correct averages.
  30.

  31. FIX: The "Volunteers Scheduled Vs. Absent" report now shows the Unscheduled names of those who Checked-IN during the date range selected.
  32.

  33. FIX: During Volunteer Check-IN using the EZ Check-IN process, selecting a role when it is not scheduled was erasing the selected Attendance Type, causing the volunteer to re-select the Attendance Type in order to Check-IN. This has been corrected and uses the Attendance Type selected prior to clicking on the volunteer role.
  34.

  35. FIX: The Calendar functions were not allowing changes to the Recurring information, such as selecting the "Last" Wednesday of the month. This has been corrected.
  36.

  37. FIX: The (Email Prayer Requests List...) button on the "List Of Prayer Requests" screen no longer shows a program error when you click it. While you could have clicked the (Ignore) button and proceed with the email, this irritant no longer occurs.
